Standardizing a Document in OnStyle

Standardization applies the formatting rules defined in a DocConfig to a document. It is the fastest way to bring new or existing files into compliance and to enable the OnStyle authoring tools configured for that DocConfig.

Prerequisites #

  • OnStyle is installed and the OnStyle tab is visible in Word.
  • You have access to at least one DocConfig.

Create a backup copy of important documents before standardization.

Steps #

1. Open Microsoft Word and open your document or start a new one with Blank Document.

2. Click the OnStyle tab.

3. In the Configuration group, open Assign DocConfig.

4. Select the required DocConfig from the dropdown.

5. Confirm any prompts. OnStyle updates styles, page layout, and proofing language.

6. Start editing with the tools in the OnStyle Ribbon. If you changed headings, run Update Fields to refresh tables and references.

What changes during standardization #

  • Styles โ€” document styles are updated from the selected DocConfig.
  • Page layout โ€” page size and margins are set as defined.
  • Proofing language โ€” the language is set according to the DocConfig.
  • OnStyle authoring tools โ€” the Ribbon expands to show the tools enabled by the DocConfig.

This feature is available in all editions. Partial mode for assigning a DocConfig (refresh selected styles, skip page layout, or bypass proofing language) is only available in Professional and higher editions.

Partial assign options (Available in Professional and higher editions only) #

  • Refresh selected styles instead of a full update.
  • Skip page size and margins if you must preserve the current layout.
  • Bypass proofing language when the language must remain unchanged.
  • Disable Track Change during assign to avoid recording the bulk style update.

Troubleshooting #

  • OnStyle tab not visible โ€” Restart Word, or re-enable the add-in under File > Options > Add-ins > COM Add-ins.
  • Ribbon does not expand after assignment โ€” Click the OnStyle tab again to load the toolbar.
  • Unexpected page size or margins โ€” Reassign the DocConfig or use Professional partial assign options.
  • Language not as expected โ€” Set the Proofing Language in OnStyle or Word, then reassign the DocConfig if required.
